Question 1

What is Můj Výkaz and who is it for?

Accepted Answer

Můj Výkaz is a Czech app for companies in the Czech Republic and Slovakia that sell their time to clients — digital and creative agencies, IT and software companies, consultants, law firms and accounting firms. Your team logs work on client projects, managers approve it, and the company sees what it worked, what it invoiced and how much it earns on each client. On top of that: tasks, capacity planning, client retainers, month-end closing, invoicing with Czech and Slovak VAT, and AI reports. It's built mainly for teams of 3 to 100 people; freelancers can start on the Free plan.

Question 2

Is Můj Výkaz an attendance or time-clock system?

Accepted Answer

No. Můj Výkaz tracks work on client projects: who worked on what, for which client, how many hours, and what you will invoice for it. It doesn't record clock-ins and clock-outs, shifts, breaks, overtime or night work, and it has no terminals or GPS. If labor law requires you to keep working-time records, keep them in your attendance system or spreadsheet. Vacation, sick leave and home office are handled in the Absence module (Business plan).

Question 3

How much does Můj Výkaz cost?

Accepted Answer

The Free plan costs nothing (3 users, 3 projects). Starter is 149 CZK per user per month for teams of up to 10 people (you pay for at least 3 seats), and Business is 279 CZK per user per month with no limit on people or projects (at least 5 seats). Pay yearly and save 17%. Prices are in Czech crowns (CZK), excluding VAT. Business is free for the first 30 days — no payment card needed.

Question 4

What happens when the trial ends?

Accepted Answer

After 30 days your organization moves to the Free plan on its own. Nothing is charged — you never entered a payment card. All your data stays: timesheets, clients, projects, invoices and the people on your team. You can add a new person or project only while you fit within the Free limits (3 users, 3 projects), and paid-plan features such as tasks, invoicing, AI reports, retainers, the REST API and MCP are locked until you choose a plan. We'll remind you by email seven, three and one day before the trial ends. You can switch on Starter or Business any time in settings, and everything unlocks again.

Question 5

Is it secure? Where is my data?

Accepted Answer

The app and database run on a Hetzner Cloud virtual server in Germany that we use only for our own services. Uploaded files and backup copies are stored encrypted on Backblaze B2 in Amsterdam, so also in the EU. Data in transit is encrypted (HTTPS), and backups run daily and are encrypted. Two-factor authentication (2FA), an audit log, 6 user roles with access control, and GDPR rights including data export and deletion. You'll find the details on the Security page.

Question 6

We invoice in another system. Does Můj Výkaz still make sense for us?

Accepted Answer

Yes. You can turn invoicing off in the app and keep invoicing in your accounting software (such as Money, Pohoda or Fakturoid) or through your accountant. Můj Výkaz then holds everything that comes before the invoice: timesheets, approval, retainers and profitability. At month-end closing you enter how much you actually invoiced the client — manually, in bulk or by uploading a spreadsheet, even zero for a retainer — and Profitability compares what you invoiced with what you worked. The app suggests the amount, and the invoice number is optional. Your timesheets stay as they are; the invoiced amount is a separate figure next to them.

Question 7

How does Můj Výkaz keep track of client retainers?

Accepted Answer

You set up a monthly package of hours at a fixed price for the client. As the team logs work, the hours are deducted from the package and everyone sees the remaining balance right where they log time. Hours beyond the package are recorded as overage — bill them, or give them to the client for free. Unused hours can roll over to the next month. One client can have several retainers side by side, for example one per brand, and the same hour is never deducted twice. Retainers are on the Business plan.

Question 8

How do I stop someone from logging time in a month that's already closed?

Accepted Answer

Lock the month. The owner, an admin or an accountant locks a finished month in Closures, or the app locks it automatically on the 3rd, 5th or 10th working day of the following month. No new time entry or expense can then be added to the locked month, and approved work can't change — the numbers you invoice from stay the same. On the last working day before the automatic lock, everyone who is missing something for that month gets a reminder. For corrections, you can unlock the month temporarily. Month lock is available on all plans.

Question 9

Which tools does Můj Výkaz connect to?

Accepted Answer

Import your existing timesheets with their history — from Toggl via API token or CSV, from Clockify and Harvest via CSV. Bring over projects, tasks and comments from Freelo in a one-time import (Business plan). Send invoices to Fakturoid in one click (Business plan); there is a direct export for Pohoda (XML, CZK invoices) and ISDOC for iDoklad, Money and other Czech accounting systems. Google Calendar puts meetings from your calendar straight into your timesheet. 24 webhook event types for automations via Zapier, Make or n8n. A full REST API with OpenAPI documentation. An MCP server for Claude, ChatGPT and other AI assistants (Starter plan and up) — time entries, tasks, the work plan and closures right from the conversation.

Question 10

Can Můj Výkaz also manage tasks and projects?

Accepted Answer

Yes. The Tasks module (Starter plan and up) adds a kanban board, subtasks, comments with @mentions, attachments and a discussion for each project. Start the timer right from a task — the time goes straight into the timesheet and on to invoicing. The whole team sees the tasks, including colleagues who don't log time. The Business plan adds capacity planning: a workload heatmap shows who has time and who is overloaded, and planned work is pre-filled straight into the timesheet.

Question 11

What are AI reports and how do they work?

Accepted Answer

AI reports let you ask about your company data in plain language, in English or Czech — for example “How many hours have we worked for client X this year?” or “Which projects are over budget?”. The system turns your question into SQL, runs it on your data and returns a table or chart (column names and the short explanation are in Czech for now). So the numbers are calculated by the database, not estimated by a language model. You can save your favorite reports and have them emailed to you automatically. AI reports are available from the Starter plan (30 questions a day, 100 on Business). The MCP server is something else: it connects your own Claude or ChatGPT to your data, and it then calls 103 ready-made tools with the same permissions you have in the app.

Question 12

Does it work on mobile?

Accepted Answer

Yes. Můj Výkaz is a progressive web app (PWA) — add it to your iPhone or Android home screen without installing anything from an app store. The same workflow in the office and on the go. Push notifications, dark and light mode. You need an internet connection to work; without a signal, the app tells you that you're offline. Apps called “Výkaz práce” in the App Store and Google Play are other companies' products.

Question 13

Can Můj Výkaz handle vacation and absence management?

Accepted Answer

Yes. The full Absence module is part of the Business plan (and Custom). It gives you a timeline calendar (who is away when), an approval workflow (anyone on the team can submit a request; the owner, an admin or HR approves it; managers don't approve requests), 7 default absence types (vacation, sick leave, home office, training, other, unpaid leave, sick days) and custom types for your company. Sick leave, home office and sick days are approved automatically; vacation, training, other and unpaid leave wait for approval. For each type you decide whether colleagues see it by name — by default sick leave and sick days are hidden this way: anyone who doesn't approve requests sees only a gray “Absence” without a reason, and the note on a request is read only by its author and the approvers. Plus half-day absences, conflict detection and sync with Google Calendar. The Business plan also includes HR administration: vacation entitlements (prorated by weeks worked between the start date and the leaving date, in Slovakia by months, kept in days; for Czech DPP and DPČ agreements calculated from logged hours), entitlement adjustments (carryover, bonus, deduction), bulk vacation carryover into the new year, and an annual overview with CSV export for payroll. The Starter plan doesn't include the Absence module.

Question 14

How is it different from Clockify, Toggl or Freelo?

Accepted Answer

Clockify and Toggl Track are mainly time-tracking tools (they can also create a simple PDF invoice); Freelo manages tasks and tracks time on them. Můj Výkaz combines tasks and timesheets and goes further: logged hours draw down client retainers, timesheets turn into a client report and an invoice, month-end closing shows what from the month hasn't been invoiced yet, and Profitability tells you which clients you make money on. You can import timesheets from Toggl, Clockify and Harvest via CSV, and projects and tasks from Freelo. Comparisons with other tools are on the Comparison page (in Czech).

Question 15

Which countries, languages and currencies do you support?

Accepted Answer

Můj Výkaz is built for companies in the Czech Republic and Slovakia. Your organization's country can be either one: invoicing then offers that country's VAT rates, and working days and capacity planning count its public holidays. In Slovakia, vacation entitlement is calculated by months. The app supports three currencies (CZK, EUR and USD); you set the currency per client, and the organization can have its own bank account for each currency. EUR invoices carry an EPC QR code for SEPA payments; USD invoices have no QR code. The interface is in Czech, English and Slovak. The Můj Výkaz subscription itself is billed in Czech crowns (CZK).

Question 16

How do we get our data out if we want to leave?

Accepted Answer

Any time, free of charge. Export timesheets, clients, projects and your team to CSV, your personal data to a JSON file, and on paid plans more data through the REST API. If you cancel a paid plan, your organization moves to Free and the data stays there until you delete it yourself. We may delete a Free organization that no one has signed in to or used through the API for 24 months — we'll warn you by email first.

Question 17

Who runs Můj Výkaz?

Accepted Answer

Můj Výkaz is operated by the Czech company ideabox s.r.o. (company ID 02823519, VAT ID CZ02823519), based in Prague 8, which has been working in IT since 2014. The founder, Josef Neugebauer, is behind the product. We've been developing Můj Výkaz since 2025, and it has been live since early 2026. New features ship several times a month; automated tests check every change, and we try risky changes on a test environment first. We develop independently, without venture capital. The server runs on Hetzner Cloud in Germany, we answer in Czech and English, and the founder walks you through the demo in person.
